1.Who We Are and What This Policy Covers
Lattice Management, LLC ("LATTICE," "we," "us") provides a custom-coded white-label CRM and marketing automation platform, together with consultant services and management, to business clients. This Privacy Policy describes how we collect, use, share, and retain information in connection with our websites (including lattice.management, app.lattice.management, and go.lattice.management) and our platform and services (collectively, the "Services").
Our Services are business-to-business. We do not offer the Services to individual consumers, and the Services are not directed to children under 18.
2.Two Categories of Data
We handle data in two distinct roles:
(a) Client Data — data we collect directly from our business clients. For this data, LATTICE determines how and why it is processed.
(b) End User Data — data our clients' own customers, contacts, and leads submit through the platform (for example, via forms, calendars, portals, or SMS/email replies). For this data, our client is the owner and controller; LATTICE processes it only on the client's behalf and instructions as a service provider. If you are an End User of one of our clients, please direct privacy questions and requests to that business — their privacy policy governs your data. We will assist our clients in responding to such requests as required.
3.Information We Collect from Clients
- Contact and identity information: name, phone number, email address.
- Business information: company name, website, branding assets, audience/niche details — collected to brand and configure the platform for your business.
- Payment information: billing details processed through our payment processor (Stripe). We do not store full card numbers on our systems.
- Usage data: platform activity, feature usage, and log data used to operate, secure, and improve the Services.
- Support and feature requests: communications, tickets, and requests you submit.
- Optional marketing opt-ins: custom campaign and marketing communications you choose to receive.
4.Data We Do Not Want on the Platform
The platform is not designed for the storage of Social Security numbers, financial account information, tax returns, or similar sensitive financial documents. We instruct clients not to upload such data and recommend dedicated third-party secure document storage for those materials.
5.How We Use Information
We use Client Data to: provision, brand, and configure the platform; provide consulting, support, and maintenance; process billing and manage accounts; monitor performance, security, and abuse; communicate service updates; send optional marketing you have opted into; and comply with legal obligations.
We use End User Data solely to provide the Services to the applicable client, and as otherwise instructed by that client or required by law.
6.How We Share Information
We do not sell personal information. We share information only with:
- Service providers and infrastructure partners that power the Services, including: HighLevel (GoHighLevel), Twilio, Stripe, Intuit (QuickBooks Online), Zapier, Make, Google, OpenAI, Anthropic, and Apollo. These providers process data only as needed to deliver their functions.
- Professional advisors (legal, accounting) under confidentiality obligations.
- Legal and safety recipients, when required by law, subpoena, or to protect rights, safety, or the integrity of the Services.
- A successor entity in connection with a merger, acquisition, or sale of assets, subject to this Policy.
7.Cookies and Analytics
Our websites currently use only the cookies and similar technologies necessary to operate and secure the sites. We do not currently deploy third-party analytics, advertising pixels, or session-recording tools. If we adopt such tools in the future, we will update this Policy and provide any legally required notices or consent mechanisms before doing so.
8.Data Retention
- Active accounts: We retain Client Data and End User Data for as long as the client's account is active and as needed to provide the Services.
- After cancellation: Client subaccounts and associated data are retained for up to thirty (30) days following cancellation or termination, after which they are deleted from active systems.
- Deletion on request: We will delete data earlier upon a client's written request to info@lattice.management, subject to records we must retain for legal, billing, or dispute-resolution purposes.
- Residual copies may persist in encrypted backups for a limited period before being overwritten in the ordinary course.
9.Security
We use commercially reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls and reliance on reputable infrastructure providers. No system is perfectly secure; clients are responsible for safeguarding their own account credentials and for the security practices of their own users.
10.Your Choices and Rights
- Access, correction, deletion: Clients may access and update account information within the platform or request access, correction, or deletion by contacting info@lattice.management.
- Marketing opt-out: You may opt out of optional marketing communications at any time via the unsubscribe mechanism or by contacting us. Service and billing communications will continue.
- End Users: If you are an End User, contact the business you interacted with; we will support their response as their service provider.
California residents: Depending on the applicability of the California Consumer Privacy Act (CCPA/CPRA) to our business, California residents may have rights to know, delete, correct, and opt out of the sale or sharing of personal information. We do not sell or share personal information for cross-context behavioral advertising. To exercise any applicable rights, contact info@lattice.management. We will not discriminate against you for exercising your rights.
EU/UK: Our Services are not currently offered or directed to persons in the European Union or United Kingdom.
11.Children
The Services are not directed to, and we do not knowingly collect personal information from, anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
12.Changes to This Policy
We may update this Policy from time to time. The revised version will be posted with a new effective date, and material changes will be communicated to client account contacts. Continued use of the Services after the effective date constitutes acceptance.
